Position Overview

Title: Administrative Assistant for Care Ministries
Reporting Relationship: Care Ministries Pastor
Classification: Non-Exempt, Part-time, Wage (20 hours)

This position will support the DV Care staff including the Care Ministries Pastor and Counseling Director.  Duties will include scheduling, confidential record keeping, coordinating memorial services and receptions, and working closely with teams of volunteers.  Office and event hours will flex to accommodate memorials and training events including weekends and some evenings.

  • Coordinate and provide administrative support for Peer Counseling, Prayer, and Care Ministries and their associated groups and trainings.
  • Keep regular Tuesday and Thursday office hours and flex some hours including nights and weekends to accommodate administrative support at memorials and training events.  This position requires a commitment to three Saturdays per month for memorials averaging four to six hours each, beginning at 9am.
  • Meet with families/friends of deceased to plan memorials and maintain communication while producing program, organizing reception, and coordinating other service details.
  • In preparation for and on the day of memorials, coordinate volunteers to: donate necessary food and supplies, set up finishing details, assist families with flowers and memorabilia, prepare and serve food, clean up, and maintain supply closet.
  • Maintain Google-based calendars for the various ministries including the scheduling of counseling sessions for peer counselors.
  • Coordinate and manage counselors and other volunteers for memorials and care needs using Rock, Basecamp, Eventbrite, and email.
  • Work with facilities and communications teams to request rooms and announcements for ministry events including classes, trainings, groups, and memorials.
  • Maintain groups, in communication with leaders, to order or produce necessary supplies and fliers, track payments for materials, insure websites and social media are kept current, etc.
  • Maintain confidential files and keep accurate records through appropriate programs in order to produce regular reports and other documentation of counseling, memorials and deaths, group membership, volunteer applications, etc.

  • Able to work well with a team.

Education and Experience:

  • 1-3 years successful administrative and/or customer service experience desired.
  • Experience with memorial and/or event planning desired.
  • 1-3 years previous volunteer work desired.
